This policy explains what personal information the DentistHub AI website collects, why we collect it, who else can see it, and what you can ask us to do about it.

Who is responsible

DentistHub AI, operated by [LEGAL ENTITY NAME] of [REGISTERED ADDRESS], is responsible for the information described here. Contact us about anything in this policy at hello@dentisthub.ai. [IF REQUIRED: name a data protection officer or EU/UK representative here.]

What we collect

Information you give us in a form

Two pages on this site have forms — the Free Audit request and the Contact form. Between them they ask for your practice website URL, your email address, and the message or details you choose to include. We only receive what you type and submit.

Please do not send patient information. These forms are not a secure channel for patient records or any other protected health information, and we ask you not to include it.

Information collected automatically

Like most websites, our hosting provider records standard server logs when a page is requested — IP address, date and time, the page requested, and browser and device information sent by your browser. These logs are used to run and secure the site.

Cookies

The site uses a cookie consent tool so you can accept or decline non-essential cookies, and it stores your choice so we do not have to ask again on every page. A caching layer may also set a technical cookie to serve pages faster. These are necessary for the site to work as intended.

We do not currently run any analytics, advertising, or tracking pixels on this site. There is no Google Analytics, no Meta pixel, and no third-party advertising tag installed. If that changes, we will update this policy and the consent tool before turning anything on.

You can also block or delete cookies in your browser settings. Some parts of the site may not behave correctly if you do.

Why we use it

  • To reply to you and to carry out an audit, quote, or piece of work you have asked for.
  • To keep a record of our correspondence with you.
  • To run, secure, and improve the website itself.
  • To meet legal, accounting, or regulatory obligations.

Where the law requires a legal basis, we rely on your consent when you submit a form, on our legitimate interest in operating and securing the site and responding to business enquiries, and on legal obligation where one applies. [CONFIRM the correct bases for your jurisdiction.]

We do not sell your information, and we do not use it to make automated decisions about you.

Marketing

If we email you about our services beyond answering your enquiry, it will be because you asked us to, and every such email will have a way to stop them. You can also tell us to stop at any time by emailing hello@dentisthub.ai.

Who else can see it

We share information only with the suppliers that make the site and our correspondence work, and only so far as they need it:

  • Our web host, which stores the site and its server logs.
  • Our form software, which records submissions and emails them to us.
  • Our email provider, through which we reply to you.
  • Professional advisers and authorities, where we are legally required to disclose something.

[LIST THE ACTUAL NAMED PROVIDERS AND THEIR COUNTRIES HERE BEFORE LAUNCH — a policy that names them is far more useful than one that does not, and some jurisdictions require it.]

Where it is stored

Our suppliers may store or process information outside your country. Where that happens and the law requires safeguards for the transfer, we rely on the mechanisms our suppliers have in place. [CONFIRM hosting region and transfer mechanism before launch.]

How long we keep it

We keep form submissions and correspondence for as long as we need them to deal with your enquiry and for a reasonable period afterwards in case you come back to us, then delete them. Server logs are kept for a short operational period by our host. [SET A SPECIFIC RETENTION PERIOD BEFORE LAUNCH.]

Your rights

Depending on where you live, you may be able to ask us to give you a copy of the information we hold about you, correct it if it is wrong, delete it, restrict or object to how we use it, or provide it in a portable form. Where we rely on consent, you can withdraw it at any time without affecting what we did before you withdrew it.

Email hello@dentisthub.ai to make a request. We will not charge you for it in normal circumstances, and we will respond within the period the law allows. If you are not satisfied with our response, you can complain to your local data protection authority.

Security

The site is served over an encrypted connection, and we limit who can access form submissions. No website can be completely secure, so please do not send us anything highly sensitive through a web form.

Children

This site is for dental practices and professionals. It is not directed at children, and we do not knowingly collect information from them. If you believe a child has sent us information, tell us and we will delete it.

Other sites

Where we link to a site we do not run, this policy does not cover it. Please read that site’s own policy.

Changes

We may update this policy. The version on this page is the current one, and the date at the top shows when it last changed. If a change is significant, we will make that clear on the site.
